What this policy covers
This policy applies when you visit hellococoon.app, join the UK launch waitlist, use our contact forms, communicate with us about the pre-launch service, manage cookie choices or opt into Cocoon marketing.
The current public website does not create a Cocoon account, take payment or start a paid subscription. Before the Cocoon app and paid account services launch, we will update the privacy information to describe the final production data flows, connected services and retention rules that apply to the app.

What we collect
Waitlist details
Your name, email address, UK telephone number, confirmation that you are aged 16 or over, confirmation that you live in the UK, the source page of your registration, waitlist status and the date and time of registration.
Consent choices
Whether you separately opted into Cocoon marketing by email and/or WhatsApp, the consent wording/version presented and when the preference was recorded or changed.
Contact information
Information you give us through a contact form or direct correspondence, including your contact details and the content of your enquiry.
Website and technical information
Depending on your cookie choices: browser/device information, pages viewed, referral source, interactions with the site, approximate location derived from technical information, and analytics or advertising identifiers.
Security information
Technical logs used to protect the website and waitlist endpoint. For waitlist abuse prevention we store hashed versions of IP address and browser/user-agent information rather than the raw values in the waitlist record.

How we use personal information
We use personal information to operate and secure the website; manage UK waitlist registrations; verify the stated waitlist eligibility conditions; send account/access invitations and material changes to the waitlist; respond to enquiries; record and honour consent choices; understand website performance where permitted; measure advertising where permitted; prevent abuse; comply with law; and establish, exercise or defend legal rights.
Joining the waitlist does not create an account, start a paid service or reserve founder pricing.

Legitimate interests
To operate and secure the pre-launch website, administer the waitlist people have asked to join, respond to enquiries, prevent abuse and understand non-marketing operational performance where our interests are not overridden by your rights.
Consent
For optional email marketing, optional WhatsApp marketing and non-essential cookies or similar technologies where consent is required. You can withdraw consent at any time.
Legal obligation
Where processing is necessary to comply with legal or regulatory requirements, including data-protection requests.

The UK launch waitlist
The current waitlist is for people who are aged 16 or over, resident in the United Kingdom and provide a valid UK telephone number. The UK includes England, Wales, Scotland and Northern Ireland.
We use the required waitlist details to manage your registration and send account/access invitations or material changes to the waitlist. These service communications are separate from optional marketing.
Waitlist order does not reserve or guarantee founder launch pricing. Founder pricing is intended for the first 10,000 eligible UK customers who complete a qualifying Cocoon subscription after launch, subject to the purchase terms shown at that time.

Email and WhatsApp marketing
You may separately choose to receive Cocoon product news, updates and offers by email and/or WhatsApp. Both choices are optional and are not required to join the waitlist.
We record the consent choice, the channel, when it was made and the wording/version shown. You can withdraw a marketing choice at any time using the unsubscribe/opt-out route in the message or by contacting privacy@hellococoon.app.
If you opt out, we may keep the minimum information needed on a suppression list so that we can respect the opt-out.

Hosting and international processing
The public website and active pre-launch waitlist are hosted with Namecheap. The waitlist is stored in a private server-side directory outside the public web root. The Cocoon application environment is hosted separately and is not used to store the pre-launch website waitlist at this stage.
Namecheap operates hosting and support infrastructure in multiple locations and its services may involve international processing. Some optional analytics, advertising or communications providers are also international organisations. Where UK personal information is transferred outside the UK, we rely on an applicable lawful transfer mechanism or safeguard where one is required.

How long we keep information
- Unconverted waitlist records: deleted within 12 months of the UK launch invitation unless the person has separately opted into ongoing marketing communications.
- People who ask to leave the waitlist: removed from the active waitlist promptly. We may retain the minimum suppression information needed to honour an opt-out or a legal obligation.
- People who subscribe: relevant waitlist information may become part of their customer/account record and will then be covered by the privacy information applying to the launched service.
- Marketing consent records: retained while needed to demonstrate and manage the preference, including withdrawal/suppression records where appropriate.
- Contact enquiries and security logs: kept only for as long as reasonably needed for the enquiry, security, legal or operational purpose.

Security
Waitlist records are held in a private data directory outside the public web root with access restricted to Cocoon/Voicecenta personnel who need it. The hosting account uses two-factor authentication and we do not routinely download waitlist records to local devices.
We also use technical measures such as request validation, rate limiting and hashed technical identifiers to reduce abuse. No security measure can remove every risk, but we aim to use measures appropriate to the data and service.

Information about other people
If you contact us and include information about another person, only provide what is reasonably necessary. When the Cocoon app launches, the service is intended to allow eligible users to provide relevant information about family members, including children, where needed for their own Cocoon context. The app privacy information will explain that processing before the feature is publicly available.

Age requirement
The Cocoon waitlist and planned consumer service are for people aged 16 or over. We do not knowingly invite people under 16 to join the waitlist. If you believe a person under 16 has submitted details, contact us so we can investigate and remove them.

Your data-protection rights
Depending on the circumstances, UK data-protection law may give you rights to access personal information, correct it, ask for deletion or restriction, object to certain processing, receive certain information in a portable format and withdraw consent.
To exercise a right, email privacy@hellococoon.app. We may need to verify your identity. You also have the right to complain to the UK Information Commissioner’s Office (ICO).

Changes to this policy
We may update this policy as the website, waitlist and Cocoon launch arrangements develop. We will update the date at the top and will communicate material waitlist changes where appropriate.
